Multi-Report Consolidator

Problem

Our client needed to calculate bonuses based on employee efficiency and errors. This required matching data from a personnel file, a payroll report, a time tracking report, and 13 separate statistics reports.

Solution

A web page (accessible only to them) where they simply drag the files and press a button. It merges the data from the 16 different files into a master Excel spreadsheet and also creates a printable PDF report.

Automated Billing Application

Problem

Our client produces individual invoices for banks using their proprietary software. Some invoices are 50+ pages. Their process - choose a client, change the billing dates, wait for the invoice to generate, then save it as a PDF. Then repeat that process 117 more times. There was no way to produce invoices all at once as the data set was too large and their internal development had higher priorities.

Solution

We used Power Automate Desktop linked to an Excel spreadsheet. Our client maintains the spreadsheet by adding or deleting clients. They login to a virtual workstation, start the process, and return to doing their normal work while invoices are generated. Later they download the completed invoices.

Direct QuickBooks Import

Problem

Our same client that needed an automated billing solution was using memorized transactions in QuickBooks and manually updating quantities and prices in QB each month.

Solution

We converted the output from their proprietary software into QuickBooks import files. An intermediary table maps the billing code from their software to the respective QuickBooks item code. Our client can import all invoices at once or choose individual invoices to import.

Mailouts & Postage Tracking

Problem

Our client periodically needs to send mail to over 400 clients. They kept multiple 3-ring binders of Avery 5160 labels and maintained over 400 Microsoft Word templates. They tracked postage costs and the number of items returned in a spreadsheet so they could invoice their customers at the end of the month.

Solution

An online database storing all 400 accounts. The user chooses the account, the address and mailing instructions appear on screen, they enter the number of items being returned, and press a button. This simultaneously produces a mailing label and records the number of items. Finally, at month end, postage charges are imported from Stamps.com and matched to the transaction.

Result A tedious multi-step process reduced to a single step...and the 3 ring binders were thrown out.

Check Digit Calculator & Analyzer

Problem

Our client received remittance documents with OCR scanlines that include a check digit but not explanation of how the check digit was created. Our client had developed a spreadsheet to test 2 basic methods but often had to ask their customer, who then had to ask the print vendor, which method was used. This delayed their ability to onboard new customers by days or even weeks.

Solution

A custom web page where our client enters 5 - 7 sample scanlines. The program checks 18 different methods of computing a check digit to find which method is being used. Finally it explains in detail the math behind the methodology.

Result Our client gets an instantaneous answer and there is no delay in onboarding their customer.

Microsoft Access Database to Web Application

Problem

Microsoft Access was a game-changing product for its time. But in today's world you need access to information no matter where you are or where your team is located. If you search for solutions to move your database online, Microsoft will recommend Sharepoint - an inadequate and shortsighted solution, or Dataverse and PowerApps - a costly solution that locks you into Microsoft's Ecosystem.

Solution

We convert your database using HTML as the front end and Supabase as the back end. You get secure online access to your data while maintaining all the functionality you are used to with Microsoft Access. In addition, your transition cost and monthly cost is minimized with most clients able to use Supabase's generous free tier. Finally, since users are accessing this over the web, everyone gets updates automatically and your data stays backed up online.

Result A secure database accessible from anywhere without high monthly subscription costs.
